Position Title: Senior Information/ Outreach Co-ordinator
Classification: G5/1 (circa €42,000 p/a)
Nature of Appointment: One year, with initial six month probationary period
Organisational Unit: Information Unit
General Functions:
Under the overall direction of the Chief of Mission and the direct supervision of the Senior Programme Manager, the incumbent shall develop, provide input and deliver on information and outreach activities to increase general awareness nationwide about the current programmes implemented by IOM Dublin and IOM worldwide.
The incumbent will perform the following duties:
Information and outreach
- Devise information strategies to increase awareness of IOM Dublin’s programmes among relevant agencies, groups and communities throughout Ireland.
- Organise and conduct regular external/ outreach meetings and presentations throughout the country, including regional meetings (with referral agencies, refugee and migrant community groups, statutory bodies etc.) to ensure the circulation and exchange of information relating to IOM Dublin programmes.
- Supervise the Information Assistant to ensure the design and production of relevant and timely information materials for general dissemination among partners and specifically for the maintaining and developing of the IOM Dublin website and IOM Dublin newsletter. Ensure the regular distribution of promotional material on IOM activities to partners’ networks throughout Ireland.
- Through community mapping projects, identify diaspora communities and effective methods of communication with migrants and migrant-led organisations.
- Create and ensure the maintenance and update of a database of referral, partner and community organisations of relevance to IOM Dublin.
- With the Information Assistant, oversee and maintain the collection of return information to support Assisted Voluntary Return and Reintegration activities by developing appropriate contacts with relevant partners and IOM Missions.
- Organise and contribute to the delivering of training sessions and information seminars to existing and new partners to promote IOM programmes and activities.
- Help to develop and build the capacity of regional outreach partners within Ireland, including the provision of linkages to IOM partners in other European countries for the sharing of information and good practices.
- Initiate and respond to public and press enquiries relating to the work/ mandate of IOM, providing information materials as necessary, working in coordination with IOM’s Media and Public Information Section in Geneva. Referral of other non-related enquiries to the appropriate organisations.
- Liaison and communication with Irish Aid and other donors to promote activities of IOM worldwide.
- Organise meetings, seminars and other events relating to project activities, in accordance with project agreements and work plans.
- Assist with the monitoring and evaluation of current information and outreach strategies, and developing ideas for new information and communication activities.
Reporting
- Assist in the drafting of progress and periodical implementation reports for donors as well as other statistical analysis and operations reports relevant to the projects activities.
- Provide regular and relevant information to the Programme Unit for the compilation of the reports and the preparation of the meetings (statistics, country specifics, etc).
Strategy and planning
- Keep the Programme Unit updated on any new opportunities identified and factual information gathered during the implementation of projects.
- Assist in providing and developing adequate policy and operational responses.
Other
- Manage and develop the IOM Information Unit.
- In conjunction with the Senior Finance and Administrative Co-ordinator, monitor the information budget and expenditure.
- In conjunction with the Information Assistant, monitor and implement IOM IT strategy, and respond to IT related queries from IOM Dublin staff.
Any other duties as may be required.
Experience/Skills requirements:
- A relevant third level qualification and/ or relevant work experience.
- Detailed knowledge and understanding of asylum and migration issues in Ireland and globally.
- At least two (2) year’s experience in a similar post.
- Excellent communication, interpersonal and presentation (verbal, written, and visual) skills.
- Experience in strategic planning, report writing and budgetary control.
- Strong work ethic, ability to follow procedures clearly and to work harmoniously with colleagues within a team in a multi-cultural environment, including the ability to manage other staff.
- High level of IT competence (MS Office, Server 2003 etc) – web design skills a definite advantage.
- Clean driving license and additional language skills an advantage.
